Shipping, Delivery & Pickup Policy

How CWFD delivers, dispatches and collects your orders

This policy explains how City Wholefood Distributor ("CWFD", "we", "our", or "us") handles delivery and collection of products ordered through cwfd.com.au. It should be read together with our Terms & Conditions, Privacy Policy, and Return & Refund Policy.

Nothing in this policy excludes, limits or replaces any rights you may have under the Australian Consumer Law.

1. Delivery Areas

CWFD supplies wholesale customers in selected areas. Delivery availability may depend on your location, order size, route scheduling, and the nature of the products ordered — including frozen and chilled goods that require cold-chain handling.

If your location is outside our standard delivery area, delivery may be unavailable or may require a custom arrangement. Please contact us before ordering if you are unsure whether your business falls within our service zone.

2. Cold-Chain Handling

Many CWFD products are frozen, chilled or otherwise temperature-sensitive. We use appropriate storage, handling, packaging and transport practices to help maintain product quality during dispatch and delivery.

Once products are collected or delivered, customers are responsible for prompt unloading, proper storage and handling in accordance with product requirements.

3. Order Processing & Scheduling

Orders are processed after submission and may be subject to stock availability, account approval, payment confirmation, delivery scheduling and any other checks we reasonably require.

Submitting an order does not guarantee immediate dispatch. We may contact you to confirm order details, discuss substitutions, clarify delivery arrangements or advise if a product is unavailable.

4. Delivery Timeframes

Estimated delivery times may vary depending on destination, order type, stock status, route planning, traffic and weather conditions.

  • For Sydney and surrounding areas, delivery is generally estimated within 1–3 working days.
  • For outer and regional areas, delivery may take approximately 7–14 working days.
Please note: These timeframes are estimates only and are not guaranteed unless expressly confirmed by CWFD in writing.

5. Delivery Requirements

To help ensure safe delivery of your order, you must:

  • provide accurate delivery details and contact information;
  • ensure there is suitable access for unloading;
  • ensure an authorised person is available to receive the goods where required;
  • promptly inspect the products upon delivery;
  • store frozen, chilled and perishable products immediately and correctly after receipt.

If no one is available to receive the order, or if there is a site access issue, delivery may be delayed, rescheduled, cancelled, or subject to additional charges where permitted by law.

6. Risk, Title & Inspection

Risk in the goods passes to you upon collection or delivery, as set out in our Terms & Conditions. Title to the goods passes upon the later of payment or physical collection/delivery.

Please inspect your order as soon as reasonably possible after receipt. If there is an issue with the products, contact us promptly so we can assess the matter quickly.

7. Pickup / Collection

Customers may be able to collect orders from our premises where pickup is offered and confirmed by CWFD.

Business Hours: Monday – Friday: 8:00 AM – 3:30 PM

Closed: Saturday & Sunday

For self-collection, we may require photographic identification. If a third party is collecting on your behalf, they may be required to provide proof of identity and any order details reasonably requested by us.

8. Delivery Fees, Handling Fees & Other Charges

Delivery fees, packing fees, handling charges, redelivery fees and any other applicable charges will be shown at checkout, quoted by our team, or otherwise communicated before dispatch where practicable.

All prices and charges are in Australian dollars (AUD) and include GST where applicable, unless stated otherwise.

9. Delays, Failed Delivery & Force Majeure

From time to time, delivery may be affected by events outside our reasonable control, including:

  • traffic delays and route constraints;
  • stock shortages or supplier disruptions;
  • mechanical issues or vehicle breakdowns;
  • labour shortages;
  • public holidays;
  • extreme weather or natural events.

Where practical, we will notify you of significant delays and work with you to arrange a revised delivery or pickup time.

10. Changes, Cancellations & Unavailable Items

If you need to modify or cancel an order, please contact us as soon as possible. Because many products are perishable and orders may be processed quickly, changes or cancellations may not always be possible once preparation or dispatch has begun.

Where an accepted order is cancelled, cancellation fees or actual costs incurred may apply as permitted by our Terms & Conditions and applicable law.

If an item becomes unavailable after your order is placed, we may contact you to discuss a substitute, revised delivery arrangement, credit or refund.

11. Damaged, Incorrect or Missing Items

If your order arrives damaged, incorrect, incomplete or does not meet acceptable quality standards, please contact us promptly with your order details and supporting information, including photos where relevant.

Any remedy will be assessed in accordance with our Return & Refund Policy and your rights under the Australian Consumer Law.
